Information you give us directly

When you contact Ease Consultancy through the website contact form, by email, or by telephone, you may share personal information such as your name, email address, phone number, and a brief description of what you are looking for support with.

During the course of counselling, Yunus may keep brief session notes. These notes exist to support the continuity and quality of your care. They are not shared with anyone outside the practice except in the limited circumstances described further below.

— for processing information that is necessary to deliver counselling services you have agreed to receive.

Legal obligation
— where processing is required to comply with applicable UK law.

Explicit consent
— for special category data such as health and mental health information. You are asked to provide this consent before counselling begins and you may withdraw it at any time, though this may affect the ability to continue providing services.

Vital interests
— in rare circumstances where there is a serious and immediate risk to the life of you or another person, Ease Consultancy may need to act outside the usual boundaries of confidentiality. This is explained in full during the initial consultation and is consistent with the BACP Ethical Framework.

How your information is used

Personal information collected by Ease Consultancy is used only for the following purposes:

  • To respond to your enquiry and arrange an initial consultation.
  • To deliver counselling sessions and maintain the continuity of your care.
  • To keep brief clinical notes that support the quality of sessions.
  • To fulfil any legal or regulatory obligations that apply to a registered counselling practice.
  • To manage invoicing and payment records where applicable.


Your information is never sold, rented, or shared with third parties for marketing or any commercial purpose.

05 - Confidentiality and Its Limits

Confidentiality and when it may need to be broken

Confidentiality is a cornerstone of the therapeutic relationship at Ease Consultancy. Everything shared in sessions is treated as private and will not be disclosed to anyone outside the practice under normal circumstances.

There are a small number of exceptional situations where confidentiality may need to be broken. These are:

  • Where there is a serious and immediate risk of harm to you or to another person.
  • Where disclosure is required by a court of law.
  • Where there is reason to believe that a child or vulnerable adult is at risk of abuse or neglect.
  • In these situations, Yunus will wherever possible discuss the matter with you before taking any action. These limits to confidentiality are explained clearly at the start of any therapeutic relationship so there are no surprises.


Ease Consultancy operates within the ethical framework set out by the British Association for Counselling and Psychotherapy (BACP). BACP Membership No. 395537.

06 - Data Retention

How long we keep your information

Enquiries that do not lead to counselling sessions are retained for a maximum of 12 months and then securely deleted.

Clinical session notes are retained for a period of seven years following the end of the therapeutic relationship, in line with professional guidance for counselling records in the UK. After this period, records are securely destroyed.

Financial and invoicing records are retained for six years in line with HMRC requirements.

You may request deletion of your data at any time, subject to any legal or professional obligations that require it to be retained for a minimum period.

07 - Data Security

How we protect your information

Ease Consultancy takes reasonable and appropriate technical and organisational measures to protect your personal data from unauthorised access, loss, or disclosure.

Session notes are stored securely. Electronic communications are handled through standard encrypted channels. No system can guarantee absolute security, but Ease Consultancy is committed to continuous care in how personal data is handled.

If you have concerns about how a particular type of communication is secured, for example if you wish to discuss sensitive matters over email, you are welcome to raise this and Yunus will advise on the most appropriate method.
